1. Admin Assistant at IDG Ventures Vietnam (Hanoi Office)
Purpose of the Job: The Admin Assistant who will perform receptionist and administrative tasks, bookkeeping and office support activities for IDG Ventures staff. The job holder must require strong communication skills, organisation skills, and good interpersonal skills.
Job Responsibilities:
Admin:
- Perform receptionist’s duties including: handle incoming calls make sure to route call elsewhere as needed, log information on calls received where required and maintain detailed and accurate records. Greet and direct all visitors, sorts and distribute incoming mail to staff and manage outgoing mails and packages
- Performs general administrative duties: Order and maintain relevant office supplies: stationary & business card, brochures… for effeciveness of personal duties, make sure office facilities are maintained in efficient, convenient and cost effective manner
- Arrange travelling for staff including: immigration procedures for expats and passport/visa application, book airlight ticket, arrange transportation; reserve hotel and accomodation…
- File data and perform other routine clerical tasks as assigned and for other functions as needed
- Provide translation if required.
- As directed by the Office Manager, assist Vice President/ Senior Associates and other members of the fund with general secretarial office duties, as needed, to include:
- Phones/ Contacts Update
- Coordinate Outlook Meeting Setups / Physical Meeting Arrangements
- Organization and maintenance of general filing systems
- Travel arrangements
- Copy Requests / Faxing
Bookeeping/ Simple Accounting:
- Controlling petty cash and sub-ledger as a cashier.
- Other simple accounting jobs requested
Job requirements:
- College degree with distinction.
- Fluency in English and Vietnamese
- Must be a person of high integrity, high energy as well as results-oriented
- Demonstrated ability to handle multiple tasks simultaneously and change priorities as needed.
- Exceptional organizational skills required. Ability to meet designated deadlines is a critical qualification
- Demonstrated ability to communicate effectively and professionally with customers and external contacts to the organization.
- Demonstrated proficiency with MS Office products including Word, Excel, Access, Power Point and Outlook.

2. Executive Assistant to General Partner at IDG Ventures Vietnam
Company Overview: We are a 100 million U.S ventures capital fund investing in Vietnamese companies specializing in the TMT sector with headquarter office based in Hanoi and our representative office is located in Ho Chi Minh City. We are looking for an Executive Assistant to one of our general partners who directly oversees HCMC office. Ideals candidates will possess a high level of multi-skilled admin and problem solving skills, positive attitude, the ability to work independently, and willingness to be open for improvements.
Education: Bachelor degree is required, huge advantage with overseas education degree Or a Master degree.
Experiences: At least 2+ years in supportive admin position. Would be ideal if candidates had prior work experiences as executive assistant/personal assistant
Job Responsibilities:
- Arrange travel logistics, dealing with complex international travel itineraries, arranging hotel and transportation accommodations.
- Heavy meetings scheduling/rescheduling and calendar management
- Coordinate with associates and portfolio companies in setting up schedules for quarterly board meetings
- Corresponding a high volume of incoming emails on daily basis
- Attend meetings to take minutes upon request
- Answering all incoming calls on behalf of executive
- Taking care of executive’s personal aspects (can be further explained during interview) as needed.
- Handle and organize confidential documents handed to/by executive for signing and filing purposes.
- Assist in Vietnamese translation anytime needed
- Carrying out specific assignment/field research as request by executive
Desired Skills and Experiences:
- Excellent proficiency in English including verbal communications as well as proper written English.
- Independent, open-minded, a team player, and multi tasks and problem solving skills
- MUST be able to work around the clock as required when executive is in different time zones and need your immediate assistance.
- Proficiency in MS Office (Word, Excel, Powerpoint)
- Exceptional organizational skills and great attention to detail
- High level of pro-activity and sense of responsibility paid to work assignments
- Excellent time management skills and a sense of urgency when meeting deadlines
- Self-motivated and capable of multi-tasking in a high pressure environment
- Ability to handle multi-tasking environment, meet deadlines, and having discretion while working with a wide range of sensitive and confidential issues
